How to Create Canned Responses (Templates) in Gmail

I’m rejecting a lot of guest post pitches, and until now, I was writing the responses from scratch every time.

Not very efficient, right?

So, I finally thought of creating some canned responses in Gmail to save time, and I’ll show you how to do it as well.

The process is the same for both standard Gmail and G Suite Gmail.

Create a Canned Response (Template) in Gmail

Step 1

Access the Settings by clicking on the gear icon found at the top-right.

Step 2

Go to Advanced and enable Canned Responses (Templates).

Click the Save Changes button at the bottom.

Step 3

Click the Compose button to start creating an email like you normally would.

You don’t need to add any recipients or a subject, just the template response that you want in the message area.

Step 4

After you finished writing the template response, click the 3 vertical dots at the bottom-right corner, next to the trash can icon.

Select Canned responses > New canned response…

Step 5

Add a name for your canned response in the pop-up that will appear, then click the OK button.

That’s how you create a canned response in Gmail.

Let’s see how to insert it now.

How to Insert the Canned Response (Template) in a Gmail Reply

Now, when you want to reply to an email using the template response you created, you just have to:

  • Click the Reply button;
  • Click the 3 vertical dots at the bottom-right, next to the trash bin;
  • Select Canned responses, and under the Insert part, select the name of the template response that you want to use.
